Every missed call is a customer who might call a competitor next. For a small business, hiring someone to sit by the phone all day is rarely affordable, and voicemail is where leads go to die. That's the problem an AI receptionist (also sold as an AI answering service) is built to solve.
This guide explains what an AI receptionist actually does, how it differs from a traditional answering service, what to look for before you commit, and how to set one up without writing code. We use ElevenAgents by ElevenLabs as the worked example because it is built for exactly this job.
How this guide was put together: features and prices come from the official ElevenLabs pages (elevenlabs.io/agents and elevenlabs.io/pricing/agents), checked October 26, 2026, and from ElevenLabs' partner materials. This is not a hands-on test, and we don't work for ElevenLabs.
What is an AI receptionist?
An AI receptionist is a conversational voice agent connected to your business phone number. When someone calls, it:
- Answers immediately, day or night, including weekends and holidays.
- Talks naturally rather than reading a phone-tree menu ("press 1 for…").
- Answers common questions using information you provide: hours, prices, services, location, policies.
- Books, moves or confirms appointments by connecting to your calendar.
- Qualifies and routes callers, taking details and passing hot leads or urgent issues to the right person.
- Escalates to a human when a call needs judgment, empathy or authority the agent shouldn't have.
ElevenLabs describes the small-business role simply: ElevenAgents acts as your receptionist, answering every call, handling the conversation naturally, and either resolving the inquiry or routing it correctly. It runs around the clock and is configured with your own business information, with no coding required.
AI receptionist vs answering service
"Answering service" traditionally means a team of human operators who pick up your overflow calls. Both options have a place. Here is how they differ in general, without putting numbers on any specific provider:
| Human answering service | AI receptionist | |
|---|---|---|
| Availability | Depends on the plan and staffing | Around the clock by default |
| Answers questions | Usually takes a message from a script | Answers from your knowledge base |
| Books appointments | Sometimes, often manually | Directly via calendar integrations |
| Languages | Depends on available staff | Multilingual agents (ElevenAgents supports 70+ languages) |
| Handling sensitive or unusual calls | Strong: real human judgment | Should hand off to a person |
| Changing the script | Request it from the provider | Edit instructions and knowledge base yourself |
| Pricing model | Usually per minute or per call, set by provider | Usually plan plus usage minutes |
The practical answer for most small businesses: let the AI handle routine calls (hours, bookings, FAQs, lead intake), and make sure there is a clear path to a human for everything else.
What to look for in an AI receptionist
Before you pick any tool, check these points:
- Voice quality. Callers judge your business in the first few seconds. A robotic voice makes people hang up. ElevenLabs positions ElevenAgents as the most natural-sounding AI receptionist, with natural, real-time voice without awkward pauses.
- Latency. Long pauses feel broken on a phone call. Look for real-time, low-latency responses.
- Your own knowledge. The agent should answer from your information, not generic internet knowledge. ElevenAgents' Knowledge Base accepts text, files or URLs and can be updated any time.
- Control over the conversation. You want to define when it books, when it transfers and what it must never say. ElevenAgents uses a visual Workflows editor for decision points, conditions and handoffs to a human.
- Testing before going live. ElevenAgents has an automated Tests framework: you describe scenarios and success criteria in plain language and run them before you deploy changes.
- Integrations. Calendar, CRM and automation. ElevenAgents lists integrations including Calendly, HubSpot, Salesforce, Zoho, Zendesk, Shopify, Zapier, n8n and Make (see the integrations list for the current set).
- Channels. Phone first, but chat and messaging help too. ElevenLabs lists web, WhatsApp, SMS and email alongside telephony.
- Transparent pricing. Understand what's included, what extra minutes cost, and what's billed separately (LLM usage and your phone carrier).
- Compliance. If you handle health or payment data, check the provider's certifications and contract terms. ElevenLabs lists SOC 2 Type II, ISO 27001 and PCI DSS Level 1, plus HIPAA compliance with BAAs on Enterprise (elevenlabs.io/agents).

How to set up an AI receptionist (no code)
Here is the general flow in ElevenAgents. Screens and labels may change, so follow ElevenLabs' own "Getting started with Agents" guide if something looks different.
1. Write down what the receptionist should handle
List the top 10 reasons people call you: opening hours, prices, booking, directions, "do you do X?", rescheduling, emergencies. Decide which ones the AI should resolve and which ones it should hand to a person.
2. Create an agent and pick a voice
Sign up, create a new agent, and choose a voice that fits your brand: warm and calm for a clinic, upbeat for a salon, crisp and professional for a law office. If you use Eleven v3 Conversational as the voice model, Expressive Mode gives you control over tone, so the agent can reassure, de-escalate and guide callers to a clear resolution.
3. Write the instructions (system prompt)
Tell the agent who it is and how to behave. For example: "You are the friendly receptionist for Bright Smile Dental. Greet callers, answer questions about hours, services and insurance from the knowledge base, book cleanings into the calendar, and transfer any pain or emergency call to the on-call number. Never give medical advice."
4. Add your business knowledge
Upload your FAQ, price list, service descriptions and policies to the Knowledge Base, or point it at the relevant pages of your website. Keep it updated whenever prices or hours change.
5. Map the call flow
Use Workflows to define what happens at each decision point: book, take a message, transfer, or end the call. Add a clear escalation path to a human.
6. Connect your tools
Connect your calendar for bookings and your CRM or a Zapier, n8n or Make automation so every call creates a lead or a note automatically.
7. Test before going live
Create scenario Tests for your most common calls ("I want to book Tuesday afternoon", "Are you open on Sunday?", "I have an emergency") and run them. Then call the agent yourself a few times.
8. Connect a phone number
Connect your number through a telephony provider such as Twilio or a SIP trunk, or forward your existing business line to the agent during busy hours or after hours to start.
9. Monitor and improve
Review transcripts and analytics in the dashboard each week. Turn any conversation that went wrong into a new test and update the knowledge base.
AI receptionist use cases by business type
- Clinics, dentists and therapists: appointment booking and reminders, intake questions, after-hours coverage, with urgent or clinical questions sent to staff. Check compliance terms before handling patient data.
- Salons, spas and barbers: bookings, rescheduling, prices and availability while staff are with clients.
- Home services (plumbers, electricians, HVAC, cleaners): capture every job request, collect address and problem details, and flag emergencies to the on-call technician.
- Real estate agents: answer listing questions, qualify buyers and book viewings. ElevenLabs says ElevenAgents can increase lead qualification by up to 30%.
- Restaurants and cafés: hours, menu questions, reservations and large-group enquiries during the rush.
- Consultants, coaches and agencies: book discovery calls, answer service questions, and send leads to your CRM.
- Local retail and e-commerce: order status, returns policy and product availability, with Shopify integration for online stores.
Other options to consider
ElevenAgents isn't the only route. Other types of solution include:
- Human virtual receptionist services, which are the better fit if most of your calls need human judgment.
- Phone systems with built-in AI features (business VoIP providers), which are convenient if you already use one, though usually less customizable.
- All-in-one front-desk software for specific industries (for example, salon or clinic booking platforms with call answering add-ons).
Pick based on voice quality, how much control you need, integrations, and the total monthly cost for your call volume. Most providers offer a free tier or trial, so test with real calls first.
Bottom line
If missed calls cost you customers, an AI receptionist is one of the simplest automations a small business can add. Start small: let it handle after-hours calls and FAQs, review the transcripts, then expand to bookings and lead intake once you trust it.
ElevenAgents is a strong place to start: build and ship a voice agent in minutes, use your own knowledge base, and configure, deploy and monitor natural, human-sounding agents. As ElevenLabs puts it, never miss a call with ElevenAgents.

Frequently asked questions
What is an AI receptionist?
+
An AI receptionist is a voice agent that answers your business phone line, talks with callers in natural language, answers common questions from your own business information, books appointments and routes or escalates calls that need a person.
Is an AI receptionist the same as an answering service?
+
Not quite. A traditional answering service uses human operators who usually take messages from a script. An AI receptionist can answer instantly at any hour, use your knowledge base to resolve common questions, and connect to your calendar or CRM. Many businesses still hand complex or sensitive calls to a human.
How much does an AI receptionist cost with ElevenAgents?
+
Per the official ElevenAgents pricing page (checked October 26, 2026), there is a free plan with 15 minutes of calls, and paid plans start at $6/month with 75 included call minutes. Additional minutes are $0.08 each, LLM usage is billed separately, and your telephony provider (for example Twilio or a SIP trunk) bills you directly for carrier charges.
Do I need to code to set up an AI receptionist?
+
No. ElevenAgents is configured in a dashboard: you choose a voice, write instructions, add your business information to the Knowledge Base, and connect a phone number. Developers can use APIs and SDKs, but they are optional.
Can an AI receptionist book appointments?
+
Yes. Appointment booking is one of the core ElevenAgents capabilities, and it integrates with scheduling tools such as Calendly, plus automation tools like Zapier, n8n and Make to connect other systems.
Will callers know they are talking to AI?
+
You should tell them. Being upfront (for example, 'You're speaking with our virtual assistant') builds trust and may be legally required where you operate. Always offer a way to reach a person.
